1. Introduction
AI'ssist Book Pros ("we," "our," or "us") is a service brand of Sho-Biz Intelligence Collectives LLC, based in Brooklyn, NY.
We respect your privacy and are committed to protecting your personal and business information. This policy explains what data we collect, how we use it, and the choices you have.
2. Information We Collect
We collect information only as needed to provide our services:
Contact details (name, email, phone, business name) when you inquire, book a consultation, or sign up for updates.
Scheduling information you provide when booking a consultation through our booking platform.
Information you submit through our intake and contact forms.
Service-related files or data you voluntarily share (spreadsheets, receipts, PDFs, reports) for analysis or digitization, submitted through our approved intake channels (see Section 4).
Technical information such as anonymized website analytics, cookies, and device type, used solely to improve our site's performance.
Payment data (when applicable) processed securely by our third-party payment processor; we do not store full card information.
3. How We Use Your Information
We use your information to:
Deliver and improve our services;
Communicate about projects, billing, and support;
Maintain internal records and comply with legal requirements;
Share marketing updates (only if you opt in).
We never sell or rent your information to others.
4. Third-Party Service Providers
To operate efficiently and securely, we rely on trusted third-party platforms to help deliver parts of our service, including:
TidyCal — for scheduling consultations and appointments;
Tally.so — for intake and contact forms;
Dropbox — for secure file storage and sharing;
Stripe — for payment processing;
Google Workspace and/or Microsoft 365 — for internal document management and project work;
Namecheap Private Email — our business email is hosted through Namecheap; messages and attachments you send to our email addresses are processed and stored on Namecheap's email infrastructure.
When you interact with these platforms — for example, booking a call, submitting a form, sending an email, or making a payment — your information is also collected and processed directly by that provider, under that provider's own privacy policy and terms of service. Those policies govern how each platform stores, secures, and handles your data on its own systems, and are outside our direct control.
We select providers that maintain strong industry security and compliance standards, and we only use these platforms for legitimate business purposes connected to your service. However, we are not responsible for the internal data-handling practices, security incidents, or policy changes of these third-party providers. We encourage you to review each provider's own privacy policy for details:
Approved intake channels. For your security and ours, we only accept client files and sensitive information through the channels listed above — namely our Tally.so intake forms, our official business email address, or Dropbox links we have specifically set up for your project. We do not monitor, open, or act on files or links sent through unsolicited third-party file-sharing services, unfamiliar links, or other channels outside these approved methods, and we are not responsible for information sent that way. If you're ever unsure how to securely send us something, please ask.
5. Data Security & Storage
We take data security seriously and store client materials only in trusted, encrypted cloud environments, including:
Dropbox (for data collection and file sharing);
Google Drive and/or Microsoft 365 (for project work and internal management).
Each platform we use complies with industry security standards (AES 256-bit encryption, SSL/TLS protection).
Access to these folders is limited strictly to authorized team members and is protected by multi-factor authentication.
Sensitive client files (such as receipts, financial records, or tax documents) are never shared publicly or used for any purpose other than the contracted work.
6. Data Retention & Deletion
Client files uploaded to Dropbox or other project folders are retained only until:
The service is completed and confirmed by the client; or
Record-keeping laws require us to retain them (for example, for tax documentation).
After that, files are securely deleted from shared folders.
Data held by our third-party providers (such as scheduling history in TidyCal or form submissions in Tally.so) is retained according to each provider's own retention practices, which we do not directly control.

7. Your Rights
You may request to:
Access or correct your personal data;
Withdraw consent for marketing;
Request data deletion (subject to legal retention obligations, and to the retention practices of any third-party provider that independently holds your data).
8. AI & Automation Use
We use AI and automation tools in two ways:
To analyze and process your data — for example, generating insights, dashboards, or reports from information you provide. In these cases, your files are handled within private, secured accounts, and human review is performed before any output is finalized.
To build custom internal tools for your business — for select projects, we may use AI-assisted development platforms (such as Claude or Lovable) to build a dashboard, tracker, or other tool for your own internal use, using your business data as part of that build. The specific platform used depends on the project and will be identified in your service agreement.
In all cases:
We select AI providers and account tiers that do not use your data to train public or open-source AI models, where such settings are available and verified;
Your data is never shared with unrelated third parties or other clients;
If a delivered tool remains connected to a live data feed or requires your data to keep functioning (e.g., an ongoing dashboard), this will be explained to you, including who can access that data going forward (only our team, or you directly through the platform);
Use of a specific AI platform for your project, and any data-handling details particular to that platform, will be confirmed in writing in your service agreement before work begins.
9. Third-Party Links
Our website may link to partner or social sites. We are not responsible for the content or privacy practices of those websites.
10. Updates to This Policy
We may update this policy periodically. The latest version will always appear on this page with an updated “Last Updated” date.
